Documents for Counselling 2026 — Quick Answer

Every admission round does a physical document check, and a single missing document can cancel your seat with no grace period. Keep your entrance scorecard, marksheets, Aadhaar and category certificates ready in advance — caste validity and NCL certificates alone can take weeks to obtain.

  • Universal: entrance scorecard + admit card, Class 10 & 12 marksheets, School Leaving Certificate, Aadhaar, 10–12 photos
  • Category: domicile, caste certificate + Caste Validity + current-year NCL (OBC), EWS, PwD, gap affidavit
  • Attestation: Gazette Officer / Notary copies for state counselling (not self-attested)
  • Lead time: caste validity & NCL can take 2–6 weeks — apply ~3 months ahead
  • NCL/EWS validity: must be issued for the current academic / financial year
Quick Answer A Caste Certificate is a primary document identifying your community/caste, issued by the Tehsildar. A Caste Validity Certificate is a second-level document issued by the District Caste Scrutiny Committee confirming that your caste claim is authentic and verified. In Maharashtra, OBC/VJNT/SBC students cannot claim reservation in education without a valid Caste Validity Certificate. The application for Caste Validity must be submitted with supporting documents including a genealogy tree and old government records.

Why Documents Matter — And Why They Must Be Ready in Advance

At every admission round — whether MHT-CET ARC verification, DMER NEET document verification, or direct management quota admission — colleges and state authorities do a physical document check. One missing document = seat cancellation with no grace period. Documents like caste validity certificates and domicile certificates can take 2–6 weeks to obtain — plan ahead.

Pro Tips for Document Preparation

  • Get all documents attested by a Gazette Officer or Notary — not self-attested for state counselling
  • Scan all documents at 200–300 DPI and save as PDF — keep organised folder by document type
  • Store originals in a plastic folder/sleeve in the order you'll be asked to produce them
  • Get multiple certified copies of caste, income, and domicile certificates — you'll need to submit copies at multiple stages
  • Caste Validity and NCL certificates: apply for renewal 3 months before counselling as they are current-year specific
Caste Validity Application MH Domicile Certificate Online Gap Affidavit Format 2026 ARC Verification Pune

What is a Gap Affidavit and when is it needed?

A Gap Affidavit (also called Gap Certificate) is a notarised declaration on ₹100 stamp paper stating the reason for the gap year after Class 12 and that you were not enrolled in any other institution during that period. It is required at most state counselling document verification centres (ARC/DV) if you are applying for admission more than 1 year after passing Class 12. Get it prepared at any notary office 1–2 weeks before counselling.

What is the difference between a Caste Certificate and Caste Validity?

A Caste Certificate (also called Community Certificate) is a permanent document identifying your caste/community, issued by the Tehsildar/Revenue Authority. A Caste Validity Certificate is issued by the Scrutiny Committee and confirms that your caste claim has been independently verified by the government. In Maharashtra, caste validity is required for OBC/VJNT/SBC and sometimes SC categories for reservation benefits in education. Caste certificates without validity are not accepted for OBC reservation in Maharashtra.

Can I submit photocopies if originals were lost?

No — original documents are mandatory at state counselling document verification. Photocopies alone will not be accepted. If originals are lost, you must obtain certified copies from the issuing authority (Board of Education, Tehsildar, etc.) before your verification date. This process can take 2–6 weeks. Start the replacement procedure immediately if you suspect documents are missing — do not wait until the last week before counselling.

JoSAA (Joint Seat Allocation Authority) — IIT/NIT Engineering

JoSAA counselling for IITs, NITs, IIITs, and GFTIs requires a slightly different set of documents. After online seat allotment, candidates report to the allotted institute for document verification and fee payment.

  • JEE Main and/or JEE Advanced Scorecard (downloaded from NTA/IIT portal)
  • JEE Main/Advanced Admit Card
  • Class 10 Marksheet (for date of birth proof)
  • Class 12 Marksheet and Passing Certificate
  • Category Certificate (SC/ST/OBC-NCL/EWS) — if applicable
  • PwD Certificate — issued by government medical board (if applicable)
  • JoSAA Allotment Letter (printed from JoSAA portal)
  • Aadhaar Card or PAN Card (for identity)
  • Bank Demand Draft or Online Fee Payment confirmation
  • Defence Service Certificate (if claiming DS category)

Important: For JoSAA, both OBC-NCL and EWS certificates must be issued on or after April 1, 2026 (i.e., from the financial year 2026-27) by a competent authority — old OBC-NCL/EWS certificates from previous financial years are rejected at document verification. Central List OBC applies for IITs/NITs, which differs from state-level OBC lists.

  • MCC Registration Printout (if participating in both AIQ and state quota)

MBA Counselling Documents — CAT, SNAP, XAT, CMAT

MBA admissions involve multiple entrance exams and direct application to B-schools — each with slightly different document requirements. Here is a consolidated list for MBA counselling in 2026:

📌 In one line: document checklist — originals + photocopy sets.

DocumentPurposeNotes
Entrance Exam Scorecard (CAT/SNAP/XAT/CMAT/MAT)Primary admission criterionRelevant exam score — all programmes state which exams they accept
Graduation Degree + Marksheets (all semesters)Eligibility verification — 50% in graduation requiredFor final-year students: provisional degree certificate accepted initially; original required by joining
Work Experience Letters (if applicable)For programmes with work experience requirement (ISB, PGPX, etc.)Experience letter on company letterhead + salary slips for last 6 months
Class 10 and 12 MarksheetsAcademic history verificationRequired by most top B-schools as part of application
Photo ID and Address ProofKYC at document verificationAadhaar + PAN required at most B-school admissions
Category Certificate (if applicable)For reserved category seats/fee concessionsSC/ST/OBC — current year certificate required
Migration CertificateFor students changing states/universitiesFrom undergraduate university — some B-schools require this

Important for MBA aspirants: Many top B-schools (NMIMS, Symbiosis, TAPMI) use SNAP, while others use XAT (XLRI network). Some, like Christ University Bangalore, use CMAT. Ensure you appear for the right entrance exams for your target B-schools. CAT is the most universally accepted but has low acceptance rates at IIMs.

Law Admission Documents — CLAT, AILET, SLAT

Law admission (BA LLB/BBA LLB/LLB) through CLAT-based counselling or direct university applications requires a specific document set:

  • CLAT Scorecard / Rank Letter — from consortiumofnlus.ac.in; for NLU admissions
  • AILET Scorecard — for NLU Delhi specifically (conducted by NLU Delhi separately)
  • SLAT Scorecard — for Symbiosis Law School admissions
  • Class 12 Marksheet and Passing Certificate — 45% minimum for General, 40% for SC/ST (for 5-year BA LLB)
  • Graduation Degree (for 3-year LLB) — 50% in graduation
  • Age Proof — Class 10 marksheet (date of birth)
  • Category Certificate — if claiming reserved category seat at NLUs
  • Gap Affidavit — if gap between Class 12 and applying for law

Note on age limit: There is NO upper age limit for CLAT 2026 — neither for the UG (5-yr BA LLB) nor PG (1-yr LLM) programme — per the Consortium of NLUs notification. The previous age cap was struck down by the Supreme Court. Candidates of any age who meet the academic eligibility (10+2 with 45% General / 40% SC-ST for UG; LLB with similar threshold for PG) can apply. Some private law schools may have their own age guidelines — verify directly.

Common Mistakes in Document Preparation — Avoid These

Expired NCL Certificate

Non-Creamy Layer certificates are valid for only one financial year. An NCL issued in April 2025 is expired for 2026–27 admissions. Students lose OBC reservation benefits because of this single error.

Wrong Caste Validity

A caste certificate is not the same as a Caste Validity Certificate in Maharashtra. Submitting only the caste certificate for OBC reservation at state counselling leads to rejection of the reserved category claim.

State vs Central OBC List

For JoSAA/NIT admissions, only Central List OBC is valid — not state OBC. A student who is OBC in their state may not be on the Central OBC list for central institution quotas. Verify before applying.

Domicile Requirements Missed

Many state quota seats require students to have studied for 3 consecutive years in that state (Class 10–12). Simply having a domicile certificate is not sufficient — study history must be verified through school certificates.

No Gap Affidavit

Students who took a gap year for NEET/JEE preparation often forget the gap affidavit. At ARC/DV, this causes instant rejection of the application. Get it notarised on ₹100 stamp paper at least 2 weeks before counselling.

Incomplete Photo Specifications

Online applications require photos matching exact specifications (white background, specific dimensions, no glasses, no headgear). Rejections at photo upload stage can delay entire application. Use a professional photo studio for educational application photographs.

Digital Document Submission — Tips for Online Portals

Most state counselling portals (mahacet.org, dmer.maharashtra.gov.in, mcc.nic.in, kea.kar.nic.in) require digital uploads. Follow these best practices to avoid upload errors and rejections:

Step 1 — Scan at the Right Resolution: Scan all documents at 200–300 DPI. Higher resolution creates unnecessarily large files that may fail portal size limits. Use a flatbed scanner for clarity; avoid phone camera scans for final submissions.
Step 2 — Convert to PDF Format: Most portals require PDFs with file size limits (usually 200KB–1MB per document). Use tools like ilovepdf.com or smallpdf.com to compress PDFs without losing readability. Do not compress so much that text becomes unreadable.
Step 3 — Name Files Clearly: Save files with descriptive names: "Caste_Certificate_Ramesh_Kumar.pdf", "NCL_2026_27.pdf". This prevents confusion when uploading multiple documents on a portal with many upload fields.
Step 4 — Upload from Desktop Browser: Avoid uploading documents from mobile browsers — portal compatibility is better on desktop Chrome or Firefox. Clear browser cache before starting an important upload session.
Step 5 — Download Acknowledgement: Always download and save the acknowledgement/confirmation page after successful document upload. Take a screenshot as backup. This is proof of submission if any dispute arises later.

Frequently Asked Questions — Documents for Counselling 2026

A Caste Certificate is a primary document identifying your community/caste, issued by the Tehsildar. This process takes 3–6 months. Apply well in advance.
An NCL certificate typically takes 2–4 weeks to obtain from the Tehsildar's office. You need to submit an income affidavit, parent's income certificate/salary slip, IT returns (if applicable), and ration card. Many districts now have online NCL application on their state portal, which can reduce processing time. Apply by March of the academic year — NCL certificates for 2026–27 admissions should ideally be obtained in February–April 2026.
Both use largely the same base document set, but there are differences. For AIQ (MCC counselling), the OBC certificate must be from the Central List (not just state-level OBC). For state quota counselling, state-specific certificates like Maharashtra Domicile, Maharashtra Caste Validity, and NCL for the current year are additionally required. Prepare both sets simultaneously if you are participating in both AIQ and state counselling — which is the recommended strategy for NEET candidates.
Generally no — for government engineering and medical colleges in Maharashtra, Karnataka, Tamil Nadu, and most states, state quota seats require a valid domicile certificate. Without one, you are restricted to the All India Quota (AIQ) for medical, or management quota for private colleges. Some states like Karnataka and Tamil Nadu have alternative study-based eligibility (studying from Class 1 to 12 in the state). Contact FindUrCollege to determine your domicile eligibility for specific states.
Yes, in Maharashtra, the School Leaving Certificate (also called the Transfer Certificate or LC) is a mandatory document for all DTE Maharashtra admissions. It is issued by the last school/junior college attended and contains your name, date of birth, caste, nationality, and leaving date. Colleges keep the original LC during your enrollment. If yours was lost, apply to your school for a certified duplicate — this requires 2–4 weeks and a school application with an FIR copy.
A Migration Certificate is required when a student joins a university in a different state or different university affiliation from where they completed their previous degree/board. For Class 12 students from Maharashtra applying to Karnataka colleges, migration from Maharashtra State Board/CBSE to VTU (Karnataka) is required. The college's admission office typically initiates this process. For JoSAA admissions, it is called an Inter-Board Transfer Certificate and is processed by the respective boards.
No. Self-attested copies are signed by the student themselves with their name, date, and "True Copy" notation. Attested copies are certified by a Gazette Officer, Notary Public, or other authorised authority with their official stamp and signature. State counselling bodies (DTE Maharashtra, DMER, MCC) typically require Gazette-attested copies for key documents (caste certificates, domicile certificates). Self-attested copies are usually sufficient for college-internal submission but not for government body document verification.
Management quota at private colleges requires: NEET/JEE/MHT-CET scorecard (as eligibility proof), Class 10 and 12 marksheets, Aadhaar card, and passport photographs. Caste/domicile documents are generally not required for management quota seats (which are open to all students). However, the college will collect these documents for regulatory compliance and record-keeping. A key additional requirement for management quota is the Admission Confirmation Letter — ensure the college issues this on official letterhead before fee payment.
A safe minimum: 5 Gazette-attested photocopies of each key document (marksheets, caste certificates, domicile, NCL). For documents you will be submitting originals of (LC, mark sheets), get 1 original + 4 attested copies. Keep 3–4 extra passport photographs beyond what you think you need — you will always need more than expected. Prepare these before counselling season begins (by May 2026) — photocopying facilities near counselling centres are often overwhelmed in peak season.
For critical documents like NEET scorecard or marksheets — download immediately from the official portal and get printouts. For government-issued certificates (caste, domicile) — visit the Tehsildar office first thing in the morning, explain the urgency, and request expedited processing (tatkal). For gap affidavit — any notary can prepare this same-day on ₹100 stamp paper; write the format in advance. For replacement marksheets (if originals lost) — contact your Board office urgently; some states have emergency duplicate issuance. Call FindUrCollege at +91 91126 50438 for immediate guidance on your specific situation.

B.Arch Documents — NATA and COA Eligibility

B.Arch admission through NATA or JEE Paper 2 requires a specific set of documents at college-level reporting and state counselling. Here is the complete list:

  • NATA 2026 Scorecard (from nata.in) — Phase 1 or Phase 2, whichever you are submitting
  • JEE Main Paper 2 Scorecard (if applying for SPA Delhi, NITs, IITs) — from NTA portal
  • Class 10 Marksheet and Certificate (for date of birth and Mathematics verification)
  • Class 12 Marksheet showing Physics, Chemistry, and Mathematics — aggregate must be 50%+
  • School Leaving / Transfer Certificate
  • COA (Council of Architecture) Eligibility Certificate — where required by state
  • Maharashtra Architecture Merit List Printout (for MH B.Arch CAP applicants)
  • Domicile / Caste / NCL certificates (same as engineering, for state quota seats)
  • Portfolio (where required by specific private colleges like Symbiosis — for their SEED process)

NRI Quota Documents — Special Requirements for Foreign-Sponsored Admissions

NRI quota admissions require additional documents to prove eligibility. These must be obtained well in advance as some require Embassy attestation or apostille which takes 3–4 weeks:

📌 In one line: document checklist — originals + photocopy sets.

Document Preparation Timeline for 2026 Admissions

Following a structured timeline is the single most effective way to avoid document emergencies during admission season. Here is the recommended month-by-month preparation guide for 2026 admissions:

January–February 2026: Renew or obtain NCL certificate for 2026–27. This is time-critical because NCL must be for the current financial year. Also apply for Caste Validity Certificate if the existing one is more than 3 years old.
March–April 2026: Apply for Domicile Certificate if you don't have one. Verify that all spelling of your name matches across documents (Aadhaar, marksheets, certificates). Arrange for Gazette attestation of all important photocopies.
May–June 2026 (Post-Result): Download and print NEET/JEE/MHT-CET scorecards immediately. Get 10 attested copies of each marksheet prepared. Compile the final physical document folder with all originals and copies organised by type.
June–July 2026 (Pre-Counselling): Get Gap Affidavit notarised if needed. Upload documents to counselling portals. Register on MAHADBT, NSP, and state scholarship portals as soon as enrollment begins. Book FindUrCollege's document review session to catch any gaps.
August–September 2026 (Counselling Season): Attend ARC/DV with original documents and multiple attested copy sets. Keep digital backups on Google Drive. After seat allotment, submit originals to the college and obtain a receipt for every document submitted.

Expert Tips — Document Preparation for 2026 Counselling

Tip 1 — Create a Document Checklist Folder: Make a physical folder and a Google Drive folder with the same structure. Tab the physical folder by document type. Create a checklist inside the front cover with checkboxes. Every time you receive a document, check it off. This simple system prevents the panic of realising something is missing at the counselling venue.
Tip 2 — Apply for Government Certificates 3 Months Early: Domicile, Caste Validity, and NCL certificates take 3–6 weeks to obtain in most districts. Apply in March–April (before NEET/JEE results) to ensure you have valid certificates when counselling begins in June–August. Do not wait for exam results to start government certificate processes.
Tip 3 — Keep a "Document Emergency Kit": When travelling to a counselling venue, carry a small emergency kit: stapler, ballpoint pen, pencil, an extra set of photographs, an extra Aadhaar photocopy, and ₹500 cash. Many counselling venues have on-site Xerox shops but they run out of paper. The stapler is for last-minute document assemblies.
Tip 4 — Verify Spellings Across All Documents: Name spelling differences across documents (Aadhaar says "Mohd" but marksheet says "Mohammad") cause verification failures. If you notice a discrepancy, get an affidavit of name consistency from a Notary before counselling. It is a simple process but must be done in advance.
Tip 5 — Use FindUrCollege's Pre-Counselling Document Review: Our counsellors review your complete document set (via scanned copies on WhatsApp/email) before your ARC/DV appointment and flag any issues. This service is free for all FindUrCollege clients. Contact us 2–3 weeks before your counselling date: WhatsApp +91 91126 50438.

  • For MBBS: keep NEET scorecard, admit card, and OMR sheet copies — they may be needed for grievance processes

Frequently Asked Questions

What happens if I'm missing a document during counselling?
Most counselling authorities have a provisional admission process — they give 7-15 days to submit missing documents. However, some documents like NEET scorecard and entrance rank cards are mandatory on day 1. Never attend counselling without core documents. If you are missing a category certificate, get it issued 2-3 months before counselling season.
Do I need original documents or copies?
Counselling and admission offices typically retain original documents and return them after verification. For private management quota admissions, originals are usually collected and held by the college until course completion as security. Always get a receipt for any originals you submit.
How long in advance should I prepare documents?
Start preparing 1 month before NEET/JEE results. Category certificates in particular take 2-3 weeks to process. Domicile certificates from some states take up to 4 weeks. Don't wait for results to start the document process — prepare everything in advance.
